If you are not sure where these things are, you need an IT Librarian to either help manage your IT media.

Most small businesses do not manage their IT storage effectively. Surprisingly many medium sized companies are the same. For much of the time it isn't a problem. When trouble appears, the lack of an organised Media Cupboard or some other arrangement costs time and money to sort out. A Managed Media solution would have available program discs, installation keys as they are needed, without having to hunt for them. A Managed Media Solution should be a part of every enterprise's set of IT Policies and Procedures.

Preparatory Steps

System survey. This involves examining your PCs and servers to determine what software you use. Followed by a Media Survey to to establish you have all the CDs and other media needed to upgrade or reinstall applications and operating systems..

Additional services include a Software Audit which checks correct licensing and Media Replacement where essential media is missing.

Choose how you want your media to be managed:

  • A Self managed scheme involves your personnel in maintaining and managing the media along the lines of the system set up by MCL
  • Alternatively, MCL will look after all your media offsite in our own archives, ready to be returned whenever it is needed.

We have three levels of Librarian support:

Bronze
This is the self-managed option. MCL will survey your servers and PCs and design a management program to suit your needs. Your staff will be instructed in its use and, if required, their performance periodically assessed.

Silver
MCL will hold the media and related materials offsite. Media produced on demand with same or next day delivery.

Gold
Offsite storage and management of media, license and installation key. Online copies of license and installation key and other paperwork. Optional online media where manufacturers license permits. Otherwise media produced on demand and couriered same-day.

IT Librarian Fees

Survey
There is set up charge covering the survey and report and planning phase.

License Compliance and Media Replacement
An additional fee will be charged to cover the processes of assessing Compliance with licensing conditions and obtaining replacement media to complete the media set.

Safekeeping and Management of media
A monthly fee will be charged according to the level of service selected.

Courier Charges
Contracts for offsite storage do not include any provision for couriering media and other materials to and from the offsite storage facility. Charges for postage or courier will be passed on as they are incurred.

If not, you need a system to help you keep track of the discs and associated paperwork from the moment they arrive to the moment you need them

What about the lost ones
Can you get replacements? We should be able to get replacment discs for those that have gone astray.

License Compliance
Are you fully legal with the software your using? Can you prove it if you are challenged? We can check your software usage and compliance so that you are legal.
